Privacy policy

Radia Network e.V., Nollendorfstr. 18, 10777 Berlin ("Radia" or "we") attaches great importance to the protection of personal data. This Privacy Policy informs all natural persons whose data we process ("data subjects") about the processing of their data in accordance with the applicable data protection laws, in particular Regulation (EU) 2016/679 (General Data Protection Regulation - "GDPR"), and their rights in this regard.

Responsibility for data processing

We are responsible for the lawful processing of the data of the data subjects within the meaning of Art. 4 para. 7 GDPR.

Processed data and processing purposes

Usage data

When you visit our website, our servers automatically store various data about your use of our website. This includes, in particular, the type/version of your browser and operating system, the website from which you access our website, the pages of our website that you visit, the date and time of your access, your IP address and other similar data.

Radia uses this personal data ("usage data") to make our services technically accessible to you (e.g. to adapt them to the device you are using), to identify and prevent any technical problems that may arise and to prevent misuse. In addition, we may use usage data in anonymized form for statistical purposes and to improve our website. The legal basis for the processing of personal usage data is Art. 6 para. 1 sentence 1 lit. f GDPR. Usage data is generally stored for a period of up to 14 days.

Data processed when contacting us via the contact form for supporters

Radia offers you the opportunity to submit a request for collaboration via a contact form. The data transmitted to Radia in this context, in particular your name, your e-mail address, your Linked-In profile, your company affiliation, the subject as well as the content and date of your contact request, will only be used to process the respective requests.

If this is necessary to process your request, your data will be forwarded to the responsible organizational units within Radia. The legal basis for processing this data is Art. 6 para. 1 sentence 1 lit. f GDPR. Our legitimate interest is the proper processing of your requests.

Commitment

If you would like to volunteer at Radia, you can use the form provided on the website. We will collect the following data:

We process this personal data to process your application to work as a volunteer and to carry out the joint collaboration. The legal basis for the processing of the data is Art. 6 para. 1 sentence 1 lit. b GDPR.

The aforementioned data will be stored for as long as you remain a volunteer at Radia. Your data will generally be deleted within 12 months of the end of your involvement. We keep your data for this period so that we can keep track of who has already volunteered with us for a while. Such volunteer management is in our legitimate interest; the legal basis for processing is Art. 6 para. 1 sentence 1 lit. f GDPR.

Deletion will also not take place if we are entitled or obliged to further storage for another legal reason (e.g. for billing purposes or to comply with statutory retention periods). The legal basis for the processing of this data is, depending on the individual case, Art. 6 para. 1 sentence 1 lit. b, c, f GDPR.

Processing for other association purposes

If you are a member of Radia, we also process your data to exercise statutory or legal rights (cf. Sections 21 et seq. German Civil Code (BGB)), e.g. membership lists with your first and last name, your e-mail address and your full address (street, house number, zip code, town) are kept to convene general meetings. The legal basis for the processing of the data described above is Art. 6 para. 1 sentence 1 lit. b GDPR.

Furthermore, the first and last names of our Board members are listed on our website, as well as a link to the respective LinkedIn profile (if the Board members voluntarily agree to this, also with the corresponding photo). The legal basis for the processing of the data described above is Art. 6 para. 1 sentence 1 lit. f GDPR, as we have a legitimate interest in presenting our association management to the outside world.

events

Radia organizes various events, in particular

(a) Career-oriented networking events,

(b) scientific lectures/workshops/hackathons and

(c) Network meetings that correspond to the objectives of the association.

We can inform our members about this. We will use the contact details you provide us with (first name, surname, e-mail address). Both members and non-members can then register for participation in advance via "Eventbrite", "meet-up", google forms and/or via the links provided on our website. Your data may then also be processed by the providers of these platforms and information on this can be found in the respective data protection declarations of these providers.

If you register for a Radia event, Art. 6 para. 1 sentence 1 lit. b (for members) or f (for non-members) GDPR forms the legal basis, unless otherwise stated in the respective sections. The aforementioned data of non-members will be deleted within 3 months after the end of the respective event; for members, t; for members, their data will remain in Radia’s database as long as they stay a member of our organization. Once a member leaves, their data will be permanently deleted.

Depending on the type of event, we process the following data from you to register for and carry out the events:

Career-oriented networking events

Radia organizes networking events with cooperation partners. Participants can find out about job profiles in the tech industry, talk to practitioners, introduce themselves to cooperation partners, gain an impression of cooperation partners and get to know and network with each other.

In this context, we also pass on your CVs to our cooperation partners. The legal basis for this is our legitimate interest in the successful implementation of the event and the fulfillment of our association's purpose, the networking of our members and event participants. The forwarding of your CVs at other events without a professional networking character will only take place on the basis of your express consent (Art. 6 para. 1 sentence 1 lit. a, 9 para. 2 lit. a GDPR). You can revoke your consent at any time, whereby this revocation has no effect on the legality of the processing carried out prior to the revocation of your consent. Radia also organizes scientific lectures on various topics and invites speakers.

Finally, Radia organizes regular network meetings, which give participants the opportunity to talk to other participants in the tech industry

Social media

We also provide you with information about us and our events via our Instagram and LinkedIn pages. If you send us an inquiry via these channels, we will it to the responsible organizational unit or person within Radia. The data transmitted to us in this context will only be used to process the respective inquiries and will not be passed on to third parties. The legal basis for the processing of this data is Art. 6 para. 1 sentence 1 lit. f GDPR, because we have a legitimate interest in the proper processing of your inquiries.

In order to contact us via Instagram or LinkedIn, you must register there. For this purpose, the company behind the service may process personal data. We have no influence on the type, scope and processing of this data. Recording and publication of photos and videos

Photos and videos may be taken at our events, which may (also) show you. On the one hand, your data is processed on the basis of our legitimate interest in documenting the events we organize visually and using them within the association. In this case, the legal basis for the processing of the data described above is Art. 6 para. 1 sentence 1 lit. f GDPR. If we publish photos and videos that (also) show you in the context of press and public relations work, in particular in social media, on our website or in other radio, TV and print media, we will only do so on the basis of your express consent (Art. 6 para. 1 sentence 1 lit. a, 9 para. 2 lit. a GDPR ). Use of Zoom, Discord and Google Workspace

We process personal data insofar as this is necessary for communication and collaboration with you via the Zoom, Discord or Google Workspace tools. We process the following categories of personal data where necessary:

Zoom Video Communications, Inc, 55 Almaden Blvd, Suite 600, San Jose, CA 95113, will process the personal data exchanged via its teleconferencing tool as a processor on our behalf and in accordance with our instructions, whereby Zoom is subject to strict confidentiality obligations. To protect your personal data outside the EU, Zoom Video Communications, Inc. has concluded so-called standard contractual clauses. The Standard Contractual Clauses have been drafted by the EU Commission for the transfer of personal data outside the EU. Discord is a service provided by Discord Netherlands BV, Boulevard 195, 1118 BG Schiphol, Netherlands. We transmit the above-mentioned data to Discord Netherlands BV for the technical provision of the Discord functions. Discord Netherlands BV is independently responsible for the further processing of your personal data. Google Workspace is a service provided by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland. We use Google Workspace for the internal communication of our members. For this purpose, we have concluded a data processing agreement with Google Ireland Limited. Further information on the processing of your personal data by Google Ireland Limited can be found at https://policies.google.com/privacy?gl=DE&hl=de.Der. The purpose and legal basis for the processing of this personal data is generally determined by the respective context of the communication or collaboration. Such contexts and the corresponding legal bases are described in this data protection information in sections 2.1. to 2.9. In addition, the legal basis is Article 6 (1) sentence 1 lit. f GDPR, as it is in our legitimate interest to use Zoom, Discord or Google Workspace as a tool to facilitate communication with you.

Audio and video data via Zoom, Discord and Google Chats that is created during an audio or video conference or a screen sharing session will only be processed for the duration of the conference or session and deleted immediately afterwards. Recordings that are stored beyond this period will not be created without your separate, express consent. Otherwise, personal data from these sessions will be deleted or anonymized as soon as it is no longer required, unless legal regulations require or permit further storage.

Newsletter

You can subscribe to our newsletter via our website by entering your e-mail address. We process your e-mail address for this purpose. The legal basis for receiving the newsletter is Art. 6 para. 1 sentence 1 lit. a GDPR. You can unsubscribe from the newsletter at any time by sending an email to hello@radianetwork.org.

We use Substack for our newsletter. Subscribing to and unsubscribing from the newsletter is done via Substack. Substack processes data only on behalf of and in accordance with the instructions of Radia Network e.V..

Compliance with legal obligations

We process your personal data insofar as this is necessary in order to comply with obligations under the law of the European Union and/or its member states, in particular Germany. This includes, in particular, the registration obligation pursuant to Sections 59, 64, 77 BGB, the imprint obligation pursuant to Section 5 of the Digital Services Act (DDG) and, if applicable, the obligation to comply with binding disclosure requests from (investigative) authorities and/or courts. In this case, the legal basis for the processing of this personal data is Art. 6 para. 1 sentence 1 lit. c GDPR in conjunction with the respective legal obligation.

Recipients of the users' data

For certain technical processes of data analysis, processing or storage, we use the support of external service providers (e.g. for the storage of backup copies). These service providers are carefully selected and meet high data protection and data security standards. They are bound to strict confidentiality and only process data on our behalf and in accordance with our instructions.

Radia works together with companies and other bodies that have special expertise in individual areas or on specific specialist topics (e.g. tax auditors, lawyers, consulting firms, logistics service providers). These bodies are either subject to a professional duty of confidentiality or have been obliged by us to maintain confidentiality. If it is necessary to pass on personal data to these bodies, the legal basis for this is Art. 6 para. 1 sentence 1 lit. b or f GDPR, depending on the content of the respective cooperation, because we have a legitimate interest in using the support of these bodies.

For our contact forms, we use the support of Google Ireland Ltd, Gordon House, Barrow Street, Dublin 4, Ireland. This may also involve the transfer of personal data to Google LLC. This is a company based in the USA that is certified under the EU-U.S. Data Privacy Framework and therefore has an adequate level of data protection.

If your data is transferred to countries outside the European Union or the European Economic Area (EEA) where, according to the European Commission, an adequate level of protection is not guaranteed, we have concluded the standard contractual clauses of the European Commission with the respective data recipients to protect your personal data.

Except in the cases explained in this data protection declaration, we only pass on data to third parties without your express consent if we are obliged or authorized to do so by law or official or court order.

Storage duration

We will only store your data for as long as necessary to fulfill the purposes for which we collected it, including for the purposes of complying with legal, accounting or reporting requirements. We will generally retain your membership data for at least 12 months after termination of membership. In determining the appropriate retention period for data, we also consider the amount, nature and sensitivity of the data, the potential risk of harm from unauthorized use or disclosure, the purposes for which we process your data and whether we can achieve those purposes through other means, and the applicable legal requirements. The longest period is generally 10 years (retention period according to § 147 AO for tax-relevant documents).

Your rights

If you would like information about the processing of your personal data or a copy of it, you can contact us at any time (Art. 15 GDPR). If you discover that personal data stored about you is incorrect or incomplete, you can request that this data be corrected or completed (Art. 16 GDPR). Under the conditions set out in Articles 17 and 18 GDPR, you can also request the erasure or restriction of the processing of your data.
